VAT

19% is the standard rate and 7% the reduced rate for food, books and local transport. Locally the tax is called Umsatzsteuer (USt), often called Mehrwertsteuer (MwSt).

VAT ID

The USt-IdNr. is DE followed by nine digits. An invoice may show your Steuernummer from the tax office instead.

EUR and local dates

Amounts are in euros, and you can pick another currency on any invoice. A bank statement you upload is read the way banks in Germany write dates.

Financial year from 1 January

Invoice numbers start a new series each January, so the first invoice of the year is OG/2026/0001.

Not connected: the E-Rechnung rules. Since 2025 German businesses must be able to receive structured e-invoices (XRechnung or ZUGFeRD), and the duty to send them to other German businesses phases in from 2027. Openn Invoice makes PDF invoices, not XRechnung or ZUGFeRD files.

What an invoice needs to show in Germany.

§ 14 UStG lists what a Rechnung carries:

  1. The full name and address of you and your customer
  2. Your Steuernummer or USt-IdNr.
  3. The invoice date
  4. A unique invoice number from a continuous series
  5. The quantity and type of goods, or the scope of the service
  6. The date of supply (Leistungsdatum)
  7. The net amount split by tax rate, with any agreed discount
  8. The tax rate and the tax amount, or a note on why none is charged

    Share the invoice from your own email or any app on your phone. The track turns to Viewed when your customer opens it.

  2. Your customer sees how to pay

    Customers pay by bank transfer (Überweisung) within the term printed on the invoice. Print your IBAN and BIC, and add a payment link if you take cards.

  3. Match it from your statement

    On Pro, upload your bank statement. Dates written like 05/10/2026 are read correctly, and you match each payment in one click.

Questions from Germany.

Does Openn Invoice make a proper invoice for Germany?

Yes. Add your VAT ID in settings and each invoice is titled “Invoice”, with VAT worked out line by line at the rate you pick (19%, 7% and 0%) and totals in euros. What it has to show in Germany is listed on this page. Check with your accountant for your case.

Does it connect to the E-Rechnung rules?

Since 2025 German businesses must be able to receive structured e-invoices (XRechnung or ZUGFeRD), and the duty to send them to other German businesses phases in from 2027. Openn Invoice makes PDF invoices, not XRechnung or ZUGFeRD files.

I am not registered for VAT. Can I still use it?

Yes. Leave the VAT ID empty in settings and send invoices with no VAT on them. Under the Kleinunternehmer rule (§ 19 UStG), businesses with sales up to €25,000 in the previous year charge no VAT and say so on the invoice.

Can I bill customers outside Germany?

Yes. Pick the customer’s country and currency on the invoice. A VAT-registered customer in another EU country is billed under the reverse charge, with no VAT added. A customer outside the EU is billed as an export. You see the reason on the invoice before you send it.

What does it cost in Germany?

Free covers 5 invoices a month. Pro is 8 € a month or 69 € a year, with unlimited invoices, recurring invoices and bank statement matching. Prices exclude VAT.

Are the app and the invoices in German?

Not yet. The app and the printed labels on invoices are in English. What you type, such as item descriptions, notes and terms, can be in any language.
